Who is responsible

Awen and getawen.ai are operated by Brecht Devos, Belgium. For privacy questions or requests, contact coverchartsio@gmail.com, our current public support address.

This policy describes information used by the app, its optional integrations, and this website. Features you do not enable do not receive access merely because they are described here. Some features work locally; others send information to services you choose or that provide the requested function.

Information on your device

Depending on the features and permissions you enable, Awen can use recordings, transcripts, conversation history, speaker-matching information, photos you select, calendar entries, location, and motion information. It uses these to support conversations, identify speakers, organize personal context, and offer useful facts, reminders, plans, places, and alerts. It also stores information you enter or accept, such as profiles and follow-ups.

Microphone, Photos, calendar, location, and motion access are controlled through the app and iOS permissions. Apple local speech and on-device models process information locally when selected. You can change permissions in iOS Settings; features relying on them may then stop working. Only record or share information about other people when you have the appropriate permission.

Your optional Gmail connection

You connect through Google Sign-In and grant read-only Gmail access. Awen does not receive your Google password. It uses account identity and mailbox information, including message identifiers, senders, subjects, dates, labels, snippets, and fetched message bodies. It stores bodies as well as summaries, and can derive suggestions, facts, follow-ups, plans, places, and alerts.

Gmail requests go directly from your phone to Google over HTTPS. Gmail AI processing runs on your phone. Awen does not upload Gmail messages or information derived from them to its servers or cloud AI providers. This protection also applies to accepted information retained after disconnecting. Cloud tasks that could use this retained information, including remote speech and web or place lookups, are paused while it remains on the device. Other AI choices do not authorize cloud processing of Gmail data.

When you connect, Awen automatically processes mail from the previous 30 days that matches your processing filters, then new mail as it arrives. Sent messages, drafts, spam, and trash are excluded from this automatic processing. Older messages may still appear in the inbox. Read-only permission does not allow Awen to send messages, modify your mailbox, or delete original mail. Awen does not sell Gmail information, use it for advertising, or use it to train general-purpose AI models. Its use of Google Workspace data complies with the Google Workspace user data and developer policy, including Limited Use requirements.

Disconnect Gmail in Awen to remove its cached mailbox, unaccepted suggestions, email activity, and pending email alerts. Accepted facts and follow-ups stay until deleted, but their source email is removed and can no longer be opened. Awen separately attempts to revoke Google access. If it cannot confirm revocation, it shows a notice directing you to Google Account connections. Removing access there does not itself clear information already stored locally, and disconnecting Awen does not delete original Gmail messages.

Optional cloud AI and speech

If you select an OpenAI API, ChatGPT/Codex, or user-configured server connection, the selected service receives the content needed for that request. This can include your instructions, conversation or transcript context, and selected photos encoded as JPEG images. Optional OpenAI speech receives text to produce audio. Gmail content and its derivatives are excluded from these remote processing paths.

Your provider choice, account, and service settings determine which provider terms apply. Provider processing, retention, and training settings are not necessarily the same for an API account and a consumer ChatGPT account. See OpenAI's privacy policy and the terms for your selected service. A server you configure is operated under that operator's policies; check them before sending information.

Places, weather, and sharing

Place lookup can send a search query and relevant coordinates to Google Places. Weather features can send location information to Apple WeatherKit. These services receive the information required for the requested lookup. See Google's privacy policy and Apple's privacy policy.

When you opt into nearby profile sharing, Awen sends the profile information you choose over an encrypted connection to the other participant. The recipient receives a copy. Removing your local copy does not remove theirs.

Widget store and wallets

The widget store uses an Awen service hosted on Railway in Singapore. Browsing and update checks send the relevant search and update requests. Publisher sign-in sends an Apple sign-in token; the service keeps publisher account and session information. Publishing sends your listing details, widget package, and chosen screenshots. Material approved for publication is available to other users. Review it before submission; screenshots and packages can contain information you include.

Publisher records and published material are retained to maintain the publisher account and make its listings available. Local deletion or signing out does not delete publisher records, uploaded material, or copies already downloaded by other users. Contact support about information held by the store; removal from local storage should not be treated as removal from the hosted service.

If you enable wallet features, keys and transaction signing are local. The chain's HTTPS network endpoint receives requests that can contain public wallet addresses and signed transactions. Authorized transactions can become public blockchain records. Locally deleting keys does not remove those records or copies held by network participants. Keep any recovery information you need before deleting local wallet keys.

Diagnostics, exports, and support

Awen maintains local diagnostic information to help investigate reliability problems. Some diagnostics, exports, or optional screenshots can contain personal content. The support diagnostic export redacts stored Gmail evidence and omits saved screenshots while local email evidence remains. You can still disclose information yourself, for example by writing it in a support message or making your own screenshot. Review anything you choose to export or share. Exported files and copies sent to other people or services are outside the app's local deletion controls.

If you contact support, we receive your email address, your message, and any files you choose to send. Support email is handled through Google Gmail. We use it to answer your request and investigate the issue. Please avoid sending unrelated private information or passwords.

This website

getawen.ai is hosted by Vercel. Serving and securing the website involves technical request information such as IP address, requested URL, browser information, and access time. Our static website code does not add analytics scripts, advertising trackers, or cookies. Hosting infrastructure has its own technical processing; see Vercel's privacy notice.

The optional film uses YouTube. Its preview image is hosted here, and the embedded YouTube player loads only after you press Play. We use YouTube's privacy-enhanced player. Once loaded, Google receives technical information such as your IP address, browser details, our site origin, and playback activity, and may use browser storage under Google's privacy policy. Opening the separate YouTube link also connects to Google.

Storage, retention, and security

Local information remains while needed for the features you use or until you delete it. The Gmail cache has no fixed expiry; older bodies may be evicted as storage fills. Accepted information remains until deleted. Local diagnostics and exports may have separate lifetimes from the original content.

Awen applies iOS file protection to its managed store and attempts to exclude its managed database, recordings, and photos from device backups. These operations can fail, so this is not a guarantee that every copy is excluded from every backup. Network services use secure transport where supported by the integration, and nearby profile exchange is encrypted.

Support correspondence is retained while needed to resolve the request and address related follow-up, security, or legal obligations. Hosting and external-service retention depends on the service and applicable settings; deleting local data does not set those services' retention periods. Providers may process information outside Belgium or the European Economic Area. Their policies explain processing locations and applicable international-transfer safeguards. Contact us for information about processing under our control.

Deleting local information

To clear local Awen data, go to People → More → Delete All Data → Delete Everything. This removes the local database and its personal information, raw recordings, managed photos, cloned voices, and local wallet keys. Installed model packs and preferences remain. Read the confirmation and use the retry option if cleanup is incomplete.

This action does not delete original Gmail messages, independently exported files, recipient copies, data held by an AI provider or another server, or public records outside the app. A local reset is not a request to delete a separately hosted account. Contact support about data held by Awen services; use the relevant provider's controls for copies held by that provider.

Why we process information and your rights

We rely on consent for optional integrations and device permissions. You can withdraw it by disabling the feature, revoking a permission, or disconnecting an integration. Withdrawal does not affect processing that was lawful before you withdrew consent. We rely on legitimate interests to operate and secure the website and respond to support requests, balancing those needs against your rights.

Where applicable, you can request access, correction, deletion, restriction, or a portable copy of your personal information, and object to processing based on legitimate interests. Contact the address above. We may need information to verify your identity, but will not request unrelated data. For information stored only on your device, we may need to guide you through local controls because we cannot retrieve it remotely.

You may complain to the Belgian Data Protection Authority or your competent supervisory authority. Awen's suggestions do not make solely automated decisions with legal or similarly significant effects on you. You remain responsible for deciding whether to use them.
